This explains what Gigly does with personal information: yours if you use Gigly to run your bookings, and other people's if an artist keeps their details in Gigly or you fill in one of an artist's forms. Gigly is run by Beyond The Realm Ltd (“we”). We follow UK data protection law (the UK GDPR and the Data Protection Act 2018).
Two roles
- For artists who sign up, we decide how your account details are used, so we are the “controller” of them.
- For the people artists work with (promoters, venues, clients, band members and crew), the artist decides what to keep and why, so the artist is the controller and we look after it for them as a “processor”. If you're a promoter or client with a question about your details, ask the artist first. We'll help them answer.
What we collect
- Your name, email address, password (stored scrambled, never readable) and the plan you choose.
- What you add to run your bookings: profiles, gigs, venues, promoters and clients, contracts, invoices, expenses, photos, files, bank details for your invoices and your company details.
- From promoters and clients using an artist's links: the details they type into an offer or enquiry form, their typed signature, the time they signed and the internet address they signed from (kept as a record of the signature), and whether a private client asked for work to start straight away.
- Payments: Stripe handles card details. We never see or store card numbers, only whether a payment went through.
- Basic technical logs (such as errors and the time of a request) to keep Gigly running and secure.
Why we use it, and our legal basis
- To provide Gigly to you under our agreement with you (contract).
- To take payment for your plan and keep the records the tax office requires (contract and legal obligation).
- To send emails you've asked for, such as new offer alerts, reminders and documents (contract).
- To keep Gigly secure, fix problems and improve it (our legitimate interests).
We don't sell personal information, and we don't use it for advertising.
Who helps us run Gigly
These companies process information for us, under contracts that require them to keep it safe:
- Supabase: the database and file storage.
- Vercel: hosting the website.
- Stripe: subscription payments, and card payments on artists' invoices.
- Resend: sending Gigly's emails.
- Google: road distances and nearby car parks for venues, when switched on (only postcodes are sent).
Some of these companies may handle information outside the UK, for example in the US or the EU. Where they do, they use the safeguards UK law requires, such as the UK International Data Transfer Addendum or the UK-US data bridge.
How long we keep it
- While your account is open, we keep what you've added so you can use it.
- When you delete your account (Settings, then Account), everything in it is deleted straight away, including photos, files and your login. Copies in our backups are overwritten within 30 days.
- Records of what you paid us are kept for 6 years, because the law requires it.
Cookies
Gigly only uses cookies it needs to work: one keeps you logged in, and one remembers which account you're working in. Your colour choice is saved on your own device. There are no advertising or tracking cookies, so there's nothing to accept or turn off. Stripe's payment page sets its own cookies to prevent fraud.
Your rights
You can:
- get a copy of your information: use Download my data in Settings, then Account, or ask us;
- correct anything that's wrong, which you can do yourself in Gigly;
- have it deleted: use Delete my account in Settings, then Account, or ask us;
- object to or ask us to limit how we use it.
To use any of these rights, contact us using the details on our website. We'll reply within a month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Keeping it safe
Information travels encrypted, each account can only see its own records, links you share (contracts, invoices, day sheets) use long random addresses, and crew day sheets never show money. If something goes wrong that puts your information at risk, we'll tell you and, where required, the ICO.
Changes
If we change this policy in a way that matters, we'll tell account holders by email or in Gigly before it takes effect. See also our Terms.
